Registration Procedures

How do I register my children for swimming lessons?   Review the schedule to determine which class(es) is suitable to you.

1. Complete the Registration form as a WORD document or a PDF document (completed by hand) and email it to our office (as an attachment with your child's name in the subject line) starting at 6:30am on the first day of registration. If you plan on sending your registration form from your smart phone or ipad - please submit your registration form ahead of time - as indicated in #2.

OR -

2. Submit your completed registration form (including payment information) at least 48 hours prior to the first day of registration - indicating you will be sending an email (without completed form) on registration day. Then at 6:30am on the first day of registration - send an email only - reference your child's name in the subject line - and indicate you have already sent your form in. If you do not send an email at 6:30am - your registration form will be processed in the afternoon after the majority of emails are received. We strongly suggest this method if you use a Mac. Do not send a registration form in the ".pages" format as we cannot open it. We can accept a WORD, .jpg or .pdf format.

The majority of registration forms will be submitted via email. Please note - it is not unusual for our server to get over-loaded with hundred of emails being sent at the same time. When your email has gone through to us - you will receive an "automated" receipt. If you do not receive an automated receipt - we have not received it. This automated receipt is not confirmation of enrollment. All successfully registered swimmers will receive a confirmation and receipt via Canada Post.

All registrations are processed in the order the emails have been received.  All registration forms must include payment with either a valid VISA or Mastercard number including expiry date or cash/cheque previous submitted (we do not accept AMEX).  Your registration form cannot be processed without payment, however, if you do not wish to include credit card information on a registration form sent via email (or wish to pay by cash or cheque), please contact our office the week prior to registration and provide credit card information verbally over the phone or come into the pool in person.  As the first day of registration is extremely busy - we cannot attempt to contact you to get credit card information.   Please provide 2 choices of classes - if you are unable to give 2 choices - complete the "Note" re availability.

How will I know which class I have been registered in?  A Confirmation and Payment Receipt will be mailed once your form has been processed.  (If we cannot process your registration form as completed - we will contact you via telephone or email to offer another class.)  Due to the high volume of calls we receive during the first week of registration, we may not be able to return calls regarding which class your child has been registered in on a timely basis.  Thank you for your understanding.

What if I have issues or don't know how to email?  If you have concerns about completing and sending a registration form via email - feel free to send a "test" email (put Test in the subject line) - or call our office and we will walk you through it over the phone.  "Test" emails should be sent well in advance of the registration day so we know your registration form has been completed correctly and can be printed.  If you are out of town, using a MAC and/or have difficulty with the WORD attachment - submit your completed registration form in person or via email anytime prior to the registration date. Then - at 6:30am (not before) send a regular email - and reference your completed registration form has been previously submitted. Ensure your registration form is complete with payment information - and indicate if your child's name is different than your name. You must still send an email at 6:30am for us to match up with your registration form on file. Your email (without attachment) will be date and time stamped when received. DO NOT SUBMIT A REGISTRATION FORM IN THE ".PAGES" FORMAT AS WE CANNOT OPEN/READ IT. IT WILL NOT BE PROCESSED.

What if I cannot send an email or do not have someone else to send it or me?  You may submit your completed registration form at any time prior to the first day of registration, however, these forms will not be processed until after 2:00pm on that day.

What if my child is swimming in the current program - how do I know what level to register in?  Speak to your child's instructor or the Supervisor to determine what level is appropriate for the upcoming registration.

What if my child has never swam with Lynne Patch Aquatics?    Please call our office directly.  It may be possible to evaluate the appropriate level for your child over the phone.  If this is not possible, we will arrange to do an in-water evaluation.  There is no fee for this evaluation and it needs to be completed prior to the first day of registration, in order to get a spot.

Why is registration via email and not "on-line" or in person?    Prior to 2009, we held registration mostly in person.  Some of our clients have expressed that scheduling a "line-up" day has proven inconvenient and somewhat stressful.  Many have asked why we don't have "on-line" registration, similar to that used by the City.  The reason is  - our schedule as originally posted often changes with the demand for certain levels.  Therefore, please complete your form with three choices.  It is also important to tell us when you are available and are not available to bring your child for lessons. This way, if the class you have chosen is full (or is cancelled due to lack of enrollment) - we will do our best to find another time or day that fits into your daily schedule.
